YLAI is a nationally recognized local non-profit organization, working in the field of early-grade literacy since 2015. We have partnered with the Kementerian Pendidikan, Kebudayaan, Riset, dan Teknologi as part of the Program Organisasi Penggerak implementing our structured classroom reading program in 180 schools across East Java and Bali Province.

We are also partnering with private institutions to implement our reading programs in Eastern Indonesia, especially the Sumba District.

To support our reading program in Sumba, we are seeking a candidate to take on the Program Manager  role.

The Program Manager for the Sumba Project is responsible for the project's overall management, coordination, and successful implementation. The role includes overseeing all activities, managing project teams, coordinating with local stakeholders, and ensuring the project’s goals are met within the specified timelines and budget. The Program Manager will also ensure alignment with organizational objectives, reporting requirements, and compliance with donor guidelines.


Key Responsibilities:

1. Project Planning and Implementation:

    • Lead the design, planning, and implementation of the Sumba Project, ensuring that project activities are aligned with the approved work plan.

    • Coordinate with the project team to ensure smooth execution of activities, such as school assessments, teacher training, classroom improvement, and literacy program establishment.

    • Oversee the development of detailed activity plans, ensuring alignment with the project’s objectives and outcomes.

    • Collaborate closely with YLAI Executive Director, and Supervising Coordinator for Sumba with all aspects of the program

    • Attend all online meetings with the major funding organisation, UBS Optimus, to share updates and progress reports from the field

2. Team Management:

    • Lead and manage the project team, including 4 local field officers, 1 Finance and Admin officer, 1 Gov & Advocacy Officer , and 1 MEAL officer and 17 district facilitators (Fasda), ensuring effective teamwork and communication.

    • Provide regular supervision, mentorship, and capacity-building opportunities for the project team to enhance their skills and performance.

    • Ensure that staff understand their roles and responsibilities, and manage performance through regular feedback and appraisals.

3. Stakeholder Engagement and Coordination:

    • Act as the primary point of contact for local stakeholders, including schools, government officials, community leaders, and other partners.

    • Foster strong relationships with local government, education officials, and stakeholders to ensure project alignment with regional priorities and secure necessary approvals (e.g., MOU, SK, recommendation letters).

    • Participate in stakeholder meetings, advocate for the project’s goals, and work to build a supportive network for project sustainability.

    • Collaborate closely with the advocacy officer to maintain relationships with governments

4. Monitoring, Evaluation, Accountability, and Learning (MEAL):

    • Collaborate closely with the M&E Officer to develop and implement a robust monitoring and evaluation framework to track progress against KPIs.

    • Ensure that project activities are monitored and evaluated regularly, and that feedback is used to adapt and improve project delivery.

    • Lead project reviews and provide strategic recommendations to improve project performance based on evaluation findings.

5. Budget and Financial Management:

    • Manage the project budget and ensure that project activities are implemented within financial limits.

    • Oversee the allocation of resources to different project components, ensuring cost-effectiveness and accountability.

    • Ensure timely financial reporting in line with donor and organizational guidelines.

6. Reporting and Documentation:

    • Ensure timely preparation of high-quality reports (monthly, quarterly, and final) to share with donors, the country office, and relevant stakeholders.

    • Maintain proper documentation of all project activities, including project results, lessons learned, and success stories.

    • Ensure compliance with donor requirements and organizational standards.

7. Risk Management:

    • Identify potential risks to project implementation and propose mitigation strategies.

    • Monitor risks and challenges during project execution and respond proactively to ensure smooth project delivery.

8. Advocacy and Public Awareness:

    • Support advocacy initiatives to raise awareness about the importance of literacy and education in Sumba.

    • Lead efforts to promote the project’s successes and ensure the visibility of the project in local and regional media.

Working Conditions:

    • The position is based in Sumba and may involve travel to remote project sites. Flexibility and adaptability are required.
